Short answer: Treat MLS participation as its own billable relationship on the member record. Give it its own cycle, its own rules and its own report. Then let one system run both calendars.
Many boards bill the MLS quarterly and dues annually. That alone creates two renewal seasons to manage.
The roster adds a twist. Some MLS participants are not association members at all. Some members never touch the MLS.
Here is how to keep it straight.
Separate the relationships, not the people. One person, one record. Dues and MLS sit on that record as two distinct items. Each has its own start date, cycle and status.
When staff open the record, they see both at once. No cross-checking two lists.
Set billing rules once. Quarterly MLS invoices should generate on schedule. Annual dues should follow their own calendar. Prorating should apply to each by its own rule.
If staff calculate any of that by hand, errors follow. Usually during your busiest month.
West Volusia REALTORS® Association leases lockboxes to members every year. Staff set up a payment profile once, and the billing runs automatically. CEO Ryan Tucholski says that task "was almost a full-time job" before the switch.
Handle MLS-only participants cleanly. These participants need access and billing without association benefits. Your system should hold them without labeling them members.
Mixing them into the member count distorts your retention numbers. It also confuses your board reports.
Tie access to payment status. When an MLS invoice goes unpaid, what happens to access? Decide the policy. Then let the system apply it the same way every time.
The same goes for reinstatement. Payment arrives, access returns, and the record shows when.
Report each stream on its own. Finance needs to see MLS revenue and dues revenue separately. Your board does too. One combined number hides which stream is growing.
Make paying easy. Quarterly billing means four payment moments a year. Stored payment methods and autopay remove most of the friction. Members appreciate fewer reminders.
GZ Pay lets participants pay by card, ACH or digital wallet. Payments post to the right invoice automatically.
The Northeast Association of REALTORS® saved about $20,000 in card fees in its first year. Its CEO also reports very few calls from members confused about dues.
What to ask a vendor. Show me a member with annual dues and quarterly MLS fees. Show me an MLS-only participant. Show me what happens when one MLS invoice goes unpaid.
Watch how many steps each takes. Two calendars should not mean twice the work.
At GrowthZone, we built billing to carry more than one cycle per person. Your staff should manage the relationships, not reconcile the calendars.
