Sooner or later a board member will ask about AI. The question almost always comes down to one thing.
"Is our member data going into these tools?"
It may arrive in different words. Are we using AI? Is that safe? What are other associations doing? Underneath, the concern is member data and who can see it.
Have the answer ready before the meeting, because "I will look into it" is a bad answer to a data question.
Answer in three parts.
What you use AI for. Be specific and concrete. Drafting newsletter copy, summarizing meeting notes, flagging duplicate records. Vague answers create more concern than detailed ones.
What member data goes into it, and what does not. This is the part they care about. If you have a rule that member contact information and payment data never enter outside tools, say so plainly.
Who reviews the output. Name a role. Boards want to know a person is accountable, not that a process exists.
Do not overpromise. Two failure modes here.
Overselling makes AI sound like it is transforming your operation. That invites questions you cannot answer and expectations you cannot meet.
Dismissing it as "we barely use it" is worse, especially if staff use it more than leadership realizes. That gap is where governance problems start.
The honest middle is usually accurate. We use it for specific administrative work, member data stays out of it, and a person reviews anything member-facing.
Bring a one-page policy. If you do not have one, this is the prompt to write it. One page covering approved tools, data rules, and review responsibility.
Walking into that conversation with a written policy changes the tone entirely. It moves you from defending a practice to presenting a decision.
Expect a follow-up. Someone will ask what happens if AI gets something wrong. Answer with your review process, not with a claim that it will not happen.
At GrowthZone, we think associations should be able to answer these questions confidently. AI produces, humans approve, and that is a policy you can bring to a board.
