Three Numbers to Bring to a Software Budget Conversation

Software conversations stall when they stay abstract. Three numbers make them concrete. None require a consultant to produce.

1. Staff hours spent on manual administration. Have your team log it for two weeks. Renewals processed by hand, data re-entered between systems, reports built from exports, lists cleaned before a send.

Two weeks is enough to see the pattern without becoming a burden. Double it for a monthly figure, then multiply by twelve.

Apply a loaded hourly rate, meaning salary plus benefits, not just wage. Finance committees will do this conversion anyway, so do it first.

The resulting annual number is usually larger than people expect. That surprise is the point.

2. Your renewal rate, and the gap behind it. Calculate the rate itself. Then ask a harder question. How many lapsed members were never contacted because nobody had a reliable list?

That second figure is the one worth presenting. It represents revenue you did not lose to a competitor. You lost it to a process gap.

Even a modest recovery, applied to your average dues, produces a real annual number.

3. Non-dues revenue per member. Total your sponsorships, event income, directory placements, and advertising. Divide by member count.

If this takes more than an hour to calculate, note how long it took. That difficulty is itself part of the argument.

Compare the figure to what you think it could be with better visibility into which members buy what.

How to present them. Annual figures, not monthly. Boards think in fiscal years.

Show your work briefly. One line on how each number was gathered. Numbers without method invite doubt.

Be conservative. An understated figure you can defend beats an impressive one that gets picked apart.

Why these three. Together they describe cost, leakage, and missed opportunity. That is the full picture of what a system either supports or drains.

At GrowthZone, we would rather you walk into that meeting with your own numbers than ours.
