What Your Board Will Ask Before Approving New Software

Boards ask a fairly predictable set of questions about technology purchases. Preparing for six of them handles most meetings.

1. Why can't we fix what we have? Answer honestly and specifically. Name what you have already tried. Vendor support tickets, workarounds, configuration changes.

If you have not tried, say that too, and explain why the limitation is structural rather than a settings problem.

2. What does this do to staff capacity? Do not minimize it. Implementation is real work on top of existing jobs.

Give a range of hours and name which months are heaviest. Boards trust people who name the cost upfront more than people who promise it will be easy.

3. What happens if it does not work out? Talk about data ownership and exit terms. What is the contract length, what does it take to leave, and can you get your data back in a usable format?

This question is really about risk tolerance. Having contract terms ready to cite answers it faster than reassurance does.

4. Why now? Tie it to something concrete and external. A vendor sunset, a contract renewal date, a fiscal year opening, a growth threshold you crossed.

"It has been frustrating for a while" is true and unpersuasive. Timing needs a reason.

5. Did we look at alternatives? Have three options, including staying put. Show that staying was evaluated seriously, not dismissed.

A board is more comfortable approving a choice than a conclusion.

6. How will we know it worked? Name two or three measures and a date to check them. Renewal rate, staff hours on manual work, or time to produce a board report.

This question is often skipped by staff and is the one boards remember. Volunteering it builds credibility.

One more thing. Be clear about what you are asking for at this specific meeting. Approval to research, to issue an RFP, or to purchase. Those are different decisions and conflating them stalls the conversation.

At GrowthZone, we would rather help you prepare for these questions than have you face them unready.
